Create your lab owner account

Register an owner account, verify email access, and decide whether to complete or skip lab setup.

Introduction

The first account in Kashef starts as a personal owner login. It does not create a lab company, branch, or paid subscription during registration. After the email is verified, the owner can complete onboarding to create the lab workspace, choose a subscription plan, create the first branch, and invite staff.

Use a long-term business email controlled by the lab owner or management team. Avoid creating the first account with a temporary employee email, shared reception email, or personal email that the lab cannot recover later. The owner account should remain available even if staff roles change.

You can register before the lab setup details are ready. The account defaults to the Free plan until a plan is selected during onboarding. If you are not ready to create a lab company or branch, skip onboarding and return later from the lab dashboard.

Register from the public website

Open the registration page from the Kashef website. The form asks for owner name, email, password, language, and service agreement acceptance. It no longer asks for the lab company name or subscription plan.

Choose a strong password and store it in the lab's approved password manager. Do not share this password with reception, technicians, finance, or external consultants. Every staff member should have their own account so activity logs can show who changed records, received payments, released results, or updated settings.

If your lab has more than one owner, create one account first, finish setup, and invite the other owners from Administration > Users later. This keeps ownership clear and prevents duplicate workspaces.

Verify email and sign in

After registration, Kashef sends an email verification message. Open the message and confirm the email before adding operational data. Verification protects the workspace from being locked to a wrong or unreachable address.

If the message does not arrive, check spam, promotions, and mail filtering rules. Then return to the sign-in screen and request a new verification email. If your organization blocks unknown senders, ask your IT administrator to allow Kashef mail before retrying.

Once verified, sign in and choose one of two paths:

  • Complete onboarding to choose the plan, create the lab company, create the first branch, and invite the first team.
  • Skip onboarding if you only need account access now. You can still sign in, open your profile, and return to onboarding from the lab dashboard. Operational modules stay locked until you create or join a lab company with a branch.

On trusted lab workstations, you can select Save account on this machine while signing in. The browser will show your avatar and name next time, but it will still ask for the password after logout or after the browser is closed. Do not save an owner account on public, shared, or unmanaged computers.

What the owner account can do

The owner account can reach areas that normal staff should not use every day:

  • Open the lab dashboard after email verification.
  • Complete or skip onboarding.
  • Create the lab company and first branch during onboarding.
  • Choose the Free plan or a paid plan during onboarding.
  • Invite staff after the workspace exists.
  • Manage company, branch, billing, catalog, and operational settings after onboarding is complete.

For daily work, create separate manager, reception, technician, and finance users. The owner account should be used for setup, review, and high-impact configuration, not for routine order entry.

Common mistakes to avoid

Do not let a vendor, temporary implementer, or receptionist create the first account unless the owner can immediately take control. If the wrong person created the owner account, fix ownership before entering real patient data.

Do not share one login across the team. Shared accounts make it impossible to audit who took payment, changed a result, applied a discount, or changed a setting.

Do not skip email verification. Kashef will not let a new user continue to onboarding, billing, or the lab panel until the email is verified.

Do not expect lab modules to unlock after skipping onboarding. Skipping only lets you sign in without setup; lab features require a completed lab company and at least one accessible branch.

Do not create multiple workspaces for the same lab while testing. If you are unsure whether a workspace already exists, sign in first or contact support before registering again.

Hand off to onboarding

After signing in, the next job is to turn the account into a usable lab environment. Continue with onboarding when you are ready to create the company and first branch.

At the end of this step you should have:

  • One verified owner account.
  • A secure password that is not shared with staff.
  • Access to the Kashef lab dashboard.
  • A decision to complete onboarding now or skip and return later.
  • Basic company information ready for setup when onboarding is started.
  • A clear plan for who will be invited next.
