Notifications, follow-ups, and Kashef Bot
Choose which orders you hear about, escalate work to a specific colleague, and get notifications on Telegram or Slack.
Kashef Cloud updates and What's New
Open the user menu in the Lab or Branch panel and choose What's New to see the current Kashef Cloud version and the release history. Each release groups its notes into New, Improved, and Fixed, in your selected language.
When a newer version becomes available while you are working, a notice appears with Reload to update. It stays visible until you reload the page. Save your changes first, then press the button to load the latest version. This notice is independent of your notification preferences. If you were offline, Kashef checks again when your connection returns.
What Kashef notifies you about
Open your profile from the user menu and select Notifications & Kashef Bot. Under Notification preferences, each event has three controls:
- Event checkbox: turn that type of notification on or off. Turning it off stops both delivery methods and keeps your channel choices for later.
- Local column (Local notification): show the event in the Kashef bell menu.
- Bot column (Kashef Bot notification): send the event to every channel you have connected, including Telegram and Slack. This works independently of local notifications.
Press Save changes to apply your choices. Connecting a Bot channel alone does not override your event preferences. Send test message checks the connection even when event delivery is off.
You can choose:
- System notifications: completion or failure of imports, exports, backups, restores, and data resets you requested.
- New orders, new payments, and results added and awaiting release: optional alerts across branches you can access. These start disabled. Payment alerts require permission to view payments; results awaiting release require permission to review results. When results are submitted for release, you get one alert per order that says how many tests are ready.
- Released results, order status changes, results sent back for correction, and rejected samples: updates for orders you follow using Notify me on updates.
- Order escalations: work sent to you and updates about escalations you sent or received.
- Critical lab alerts: failed QC, instrument service, overdue samples, and stale home visits relevant to your role or assignment.
Existing followed-order, escalation, and critical-alert notifications start enabled for both delivery methods. Bot delivery requires a connected channel. Event preferences do not grant access to branches, payments, or results.
Notification language
Notifications in the bell menu and messages from Kashef Bot use your most recently saved Kashef language, including button labels. To change it, open the user menu and choose English or عربي. New notifications use that language regardless of the language used by the person who made the change. Existing notifications and messages already sent keep their original text. Names and notes entered by staff stay as written.
How preferences work with Notify me
Notify me on updates still selects the orders you follow. Your profile preferences then decide which updates you receive and where. Disabling an event does not unfollow an order; enabling it again resumes that event for orders you still follow. Branch-wide new-order, payment, and results-awaiting-release alerts do not require following each order.
Follow an order
- Open the order.
- Press the bell icon (Notify me on updates) in the order header. It turns green and its label becomes Following.
- To stop, press the bell again.
You can also follow an order from Enter Results or Review Results with the same button.
While you follow an order, you are notified when:
- the order starts processing, returns to pending, is completed, or is cancelled;
- results are released (when that event is enabled);
- results are rejected and sent back for correction;
- a sample on the order is rejected.
You are never notified about changes you made yourself. To find the orders you follow, open Orders and use the Orders I follow filter.
Escalate to a colleague
Use Escalate when someone specific needs to take the next step.
- On Enter Results or Review Results, press Escalate for release. On the order page, open Actions and choose Escalate.
- On the order page, choose what you need: Result review & release or Order follow-up.
- In Send to, pick the person. For result review, the list only shows people at this branch who are allowed to approve or release results. For a follow-up, it shows anyone at the branch who can view orders.
- Add a short note explaining what to check, then press Send escalation.
The person you chose gets a notification right away, with a button that opens the order or the results review. An orange Open escalation banner appears on the order and on its results pages until the escalation is closed.
Resolve an escalation
- Result review escalations close automatically when results on that order are released. The person who escalated is notified.
- To close an escalation by hand, press Mark resolved on the banner. The person you escalated to, the person who escalated, and anyone allowed to release results (for result reviews) can do this.
- If the person who sent the escalation closes it, the person it was sent to is told that no action is needed.
To see everything waiting for you, open Orders and use the Escalated to me filter.
Connect Kashef Bot on Telegram
- Open your profile from the user menu and go to the Notifications & Kashef Bot tab.
- Expand Kashef Bot connections. On the Telegram card, press Connect Telegram. Telegram opens in a new tab.
- Press Start in the Kashef Bot chat. The card shows Connected within a few seconds, and the bot sends you a welcome message.
The connect link works once and expires after 15 minutes. If it expired, press Connect Telegram again. To stop the bot from Telegram itself, send /stop in the chat.
Connect Kashef Bot on Slack
- On the Notifications & Kashef Bot tab, expand Kashef Bot connections and press Connect Slack.
- Sign in to your Slack workspace and press Allow.
- You return to your profile. Kashef Bot sends you a direct message in Slack to confirm it works.
Test or disconnect
- Press Send test message to check that the connection still works.
- If a delivery failed (for example, you blocked the bot), the card shows the error. Disconnect, then connect again.
- Press Disconnect to stop receiving notifications on that app. Notifications in the bell menu follow your Local notification choices.
If a card says Not available yet, Kashef Bot is not enabled for that app yet. Ask your lab administrator to contact Kashef support.
Good practice
- Follow orders you are personally responsible for, such as urgent or VIP orders, rather than every order.
- Add a clear note when you escalate, so the person you choose can act without calling you.
- Notifications support your work but do not replace queues. Keep checking the Results Queue and the dashboard during your shift.
