Supply requests

Request, approve, order, receive, and audit vendor procurement for one warehouse.

What a supply request does

A supply request records what one warehouse needs from a vendor. It keeps the warehouse, optional supplier, needed-by date, item quantities, expected costs, requester, approver, purchasing action, receipts, and outstanding balance in one workflow.

Workspace scope

The company workspace can review requests for every company warehouse. A branch workspace lists, creates, and acts on requests only for warehouses operated by the current branch. The warehouse cannot be replaced with a sibling branch warehouse through a URL or submitted form value. Items and suppliers are selected from the shared company catalogue.

Creating a request

Choose the active warehouse that will receive the stock. Select the intended supplier when known, set a realistic needed-by date, and explain the operational need in Notes. Add each active item once, with the quantity required in its configured unit and the expected unit cost when available. Duplicate item lines are rejected.

The form keeps Request Details above the item lines so the delivery context is clear before quantities are entered. Search by item name or SKU, and use the supplier code and warehouse branch shown in selectors to confirm that you chose the intended records.

Only records from the current laboratory company can be selected. The company is assigned by the server and cannot be changed through submitted form data.

Workflow and locking

Requests move through Draft, Submitted, Approved, Ordered, Partially Received, Received, or Rejected. Only drafts can be edited. Submit sends the request for review and locks its contents. Approve confirms quantities. Mark Ordered records that purchasing placed the order. Reject requires a reason and is available only before ordering.

After saving the draft, open the request and use the prominent action at the top of the page for the next step. The list also keeps these commands in its Workflow menu for quick processing. Both locations are status- and permission-aware; if an action is missing, check the current status and the user's role.

Receiving an order

When a request is Ordered or Partially Received, use Receive Delivery. Fohosat opens a draft receipt prefilled with the request, supplier, warehouse, and still-open items. Enter the quantities physically accepted and rejected, then add lot, expiry, bin, cost, and discrepancy details before posting.

Accepted quantities update the request balance. A rejected-only receipt documents the failed delivery but leaves the request open. When every ordered quantity has been accepted, the request becomes Received.

Detail page

The detail page shows the factual workflow state, requested and ordered quantities, received balance, supplier contact details, expected delivery date, receipts, named approval actors, and audit events. It does not infer courier or dispatch events that were never recorded.

References are generated automatically with an SR prefix and sequence.

  • The warehouse is the real delivery destination.
  • The supplier, needed-by date, and expected cost reflect the purchasing plan.
  • Each item appears once with the correct unit and quantity.
  • The request is reviewed before approval and ordered only after purchasing acts.
  • Vendor deliveries are received through linked receipts, not manual stock adjustments.
  • Rejections and delivery discrepancies contain useful reasons.
