Generate a finance report

Build, filter, print, export, and drill into finance reports from live accounting data.

Open Finance Reports

Open Reports > Finance Reports. The page is available to users with finance report permission. It builds printable financial reports from live accounting data, so the output reflects the orders, payments, invoices, refunds, transfers, account records, and manual finance transactions that have already been recorded.

Before generating a report for management, confirm that cashiers have posted payments, refunds are recorded, transfers are in the right status, and finance accounts are up to date. A report can only be as accurate as the transactions behind it.

Choose the report type

Select the report type first. Available types include transaction register, profit and loss, cash flow, balance sheet, general ledger, trial balance, account statement, category summary, payments, invoices, receivables, refunds, budget vs actual, reconciliations, branch performance, and tax-ready summary.

Each report type has a different purpose. Payments is useful for collections by method and status. Receivables helps find pending and partial balances. Branch Performance compares revenue, expenses, collections, and net result by branch. General Ledger and Trial Balance are more accounting-oriented.

Set the date range

Choose a date preset such as today, yesterday, this week, this month, this quarter, this year, last month, last quarter, or last year. Use Custom range when you need exact start and end dates.

Date range is the most common reason reports appear inconsistent. Make sure everyone in the discussion is looking at the same period. If a shift crosses midnight, decide whether the report should follow calendar dates or operational shift handover.

Add filters

Use filters to narrow the report: branch, account, category, transaction type, transaction status, payment method, payment/invoice status, source module, and group by. The branch filter can show all branches or one branch. The account filter helps compare cash, bank, wallet, or other configured accounts. Source module helps isolate order payments, refunds, inventory, salaries, transfers, or manual records.

Keep filters simple for the first report. Run a broad report, then narrow it. If you apply too many filters at once, it becomes hard to know which filter removed the data.

Compare, group, and layout

The Compare option can compare with previous period or same period last year. Group By can group rows by day, week, month, quarter, year, branch, account, category, payment method, or status depending on the report type. Some report types choose a helpful default group, such as payment method for payments or branch for branch performance.

Choose portrait or landscape based on the number of columns. Use summary cards and charts when the report is for owners or managers. Use zero rows only when you need to prove that a category or branch had no activity.

Update and read the table

After changing filters, update the report. The table loads rows and visible columns for the selected result. Money values show the report currency, numbers are formatted, percentages show percent signs, and empty values appear as a dash.

Rows can link to the Finance Transactions page when the user has permission. This drill-through passes report filters into the transaction list so finance staff can investigate the exact records behind a summary row.

Use Print for a browser-printable version, Download PDF for a shareable finance document, and Export CSV for spreadsheet review. These exports use the applied filters, not unsaved form changes. Update the report first, then export.

Do not send finance exports before checking the date range, branch, status, and currency. For owner reports, add context in the message: period, branch scope, cash basis assumptions, and any known pending postings.

Reset and restore filters

Reset returns the report to default filters for the active tenant. The page also stores report filters in browser storage by lab company and branch, so staff can return to a familiar reporting view.

If a report looks unexpectedly filtered, reset filters and rebuild the report step by step. This is faster than searching for one hidden filter among many.

Reconciliation practice

For daily reconciliation, start with Payments or Transactions for the day, branch, and payment method. Compare the report with cashier receipts, bank/card settlement, and account balances. Then investigate refunds, voids, pending invoices, and transfers.

For month-end review, use Profit & Loss, Cash Flow, Receivables, Branch Performance, and Category Summary. Use CSV export when accountants need to verify rows outside Kashef, but keep the final source of truth in posted finance records.
