Finance transactions

Record, review, import, and reconcile money moving through the laboratory.

Record a transaction

Open Finance > Transactions and choose Add transaction, then select the movement you are recording:

  • Deposit when money comes into an account;
  • Withdrawal when money leaves an account.

The slide-over opens with that movement already selected. Complete the main Money movement section first: select the account, category, amount, date, and branch when requested. The account supplies the currency. The category prompt explains the choice in plain language: Why did this money come in? for a deposit and What was this money used for? for a withdrawal. Use a clear description so the entry is easy to identify later. Expand Receipt and notes only when you need to add internal context or supporting evidence. A split category can be used when one deposit or withdrawal belongs to more than one category.

To move money between accounts, open More > Transfer. Journal entry is available in More only to users with professional accounting access.

Review the register

Use the account selector above the register to focus on one account. Accounts are grouped by type and show their current balance; accounts with no transactions are omitted so the list stays relevant. This selector and the table's Account filter are synchronized, so changing either one updates the same transaction results.

Filter further by category, type, date, review status, or receipt status. Reviewed means a user has checked the posted transaction; it does not change the amount. Use the circular check control on a row to mark it reviewed or unreviewed. A receipt icon appears only when a receipt exists; missing receipts are not shown as errors. Open a row to inspect its source, related entries, receipt, and audit trail. Correct a transaction through the Finance workflow—do not edit individual ledger entries.

Import a bank statement

Choose More > Import bank statement and select an active bank or payment account. The guided flow has three steps:

  1. Upload a CSV or XLSX file.
  2. Map the date, description, and amount columns, with optional reference and direction columns, then review sample rows and the row counters.
  3. Confirm the summary and import.

Duplicate and invalid rows are identified before anything is posted. Imported rows keep their source file, row number, reference, and hash so the same statement can be safely reviewed again without posting duplicates. Rows without a useful category are placed in the appropriate uncategorized account for later review.

Reconcile an account

Turn on Reconciliation to change the register into an issues-only account table. It shows eligible bank and payment accounts with an open reconciliation, new posted activity, an unreconciled opening balance, or a previous period needing attention. Select an account to open its workspace, then use Start reconciliation for a new period or Continue reconciliation for an unfinished period. Enter the statement end date and statement balance, then match the individual transactions that appear on the statement. Unmatch a line if it was selected by mistake. Finish only when the displayed difference is zero.

Reconciliation belongs to the individual transaction entries. If a previously finished period changes, it is marked as Needs attention. Select Fix issue to open the repair workspace; the issue details explain whether a transaction changed, was rebuilt, removed, moved outside the period, or was added later. Use Use current transaction, Remove from reconciliation, or Match as appropriate, update the statement details if needed, and choose Resolve reconciliation only after the difference is zero. Historical periods stay read-only until you explicitly enter repair mode. Use Cashier & Safes for physical cash counts and cash variances instead of bank reconciliation.

Advanced Accounting

Users with access to Advanced Accounting may see Journal entry and detailed ledger reports. Debit, credit, journal entry, ledger, trial balance, and normal balance are accounting terms for that area; everyday users can work entirely with deposits, withdrawals, transfers, accounts, categories, receipts, and review status.
